Smidgen Privacy Policy

We believe that personal nutrition and dietary management require complete honesty and strict privacy. Smidgen is engineered around a core principle: sensitive health data stays on your device and does not leave it.

Smidgen ("we", "us", or "our") is an application designed to help people adapt, organise, and understand recipes according to their own preferences and dietary goals. This policy explains what information Smidgen collects, how it is used, where it is stored, and the choices available to you.

1. Information We Collect and How We Use It

1.1 Account Information

When you create an account in Smidgen, we collect:

  • Email address and display name (or authentication tokens if using Google Sign-In or Apple Sign-In).
  • A unique User Identifier (UID) generated by our authentication provider (Google Firebase Authentication).

Purpose and Lawful Basis: We use this information to create your account, manage session security, and associate your synced data with your identity (UK GDPR Art. 6(1)(b) — contractual necessity).

If you use Smidgen in Guest Mode, no email address or name is collected. A transient anonymous identifier is held locally and destroyed when you sign out or clear app storage.

1.2 Recipes, Collections, Meal Plans, and Shopping Lists

When signed into an account, Smidgen synchronises your culinary data across your devices using Google Cloud Firestore:

  • Recipes you import, adapt, or create (titles, ingredients, preparation steps, source URLs, servings, and notes).
  • Collections and tags you organise recipes into.
  • Meal plans and scheduled entries.
  • Shopping lists and checklist items.
  • General application settings (such as measurement system preferences and appearance themes).

Purpose and Lawful Basis: To ensure your recipe collection and planning tools are available across your devices (UK GDPR Art. 6(1)(b) — contractual necessity).

1.3 Recipe Photographs and Imported Images

If you attach a photo to a recipe or capture an image of a physical recipe card:

  • The image is compressed and stored locally on your device.
  • For signed-in users, the image is synchronised to your private folder in Google Cloud Storage (users/{uid}/recipePhotos/).
  • If you use the Photo Import feature, the image is transmitted to our processing service to extract text, ingredients, and method. The image is processed ephemerally and is not retained or used by the reading service to train machine-learning models.
  • Notice regarding personal data in photos: Physical recipe cards or cookbook clippings may occasionally contain handwritten names, notes, or incidental personal information. These remain stored solely in your private account storage.

Purpose and Lawful Basis: To display your recipe imagery and extract recipe text from photos you choose to provide (UK GDPR Art. 6(1)(b) — contractual necessity).

1.4 On-Device Health and Dietary Goals (The Health Boundary)

Our Privacy Commitment

Medical diagnoses and health conditions (such as diabetes, coeliac disease, or lactose intolerance) are stored strictly on your local device within local database storage. They are never transmitted to our backend servers, never stored in Cloud Firestore, and never shared with third-party providers.

  • When you ask Smidgen to adapt a recipe, the application translates your local profile on your device into practical dietary goals (for example, "lower carbohydrate", "reduce free sugars", or "avoid gluten-containing ingredients"). Only these practical culinary goals are sent to the adaptation service — never your medical diagnoses.
  • Allergens (such as nut or shellfish allergies) are transmitted verbatim to ensure that recipe adaptations and ingredient substitutions reliably exclude harmful ingredients.

Purpose and Lawful Basis: Tailoring culinary calculations and substitutions to your stated preferences (UK GDPR Art. 6(1)(b) — contractual necessity; Art. 9(2)(a) — explicit consent given on setup).

1.5 Diagnostic Information and Crash Reporting (Opt-In)

Smidgen provides an explicit consent choice during initial setup regarding technical crash diagnostics and telemetry (powered by Google Firebase Crashlytics):

  • Disabled by default: No telemetry or crash diagnostics are transmitted unless you explicitly opt in.
  • If enabled, reports contain technical stack traces, device model, and OS version. They never contain recipe contents, recipe URLs, or health profile data.
  • You may toggle this consent at any time in Settings.

Purpose and Lawful Basis: Improving application stability and diagnosing fatal errors (UK GDPR Art. 6(1)(a) — consent).

1.6 Feedback You Send Us

You can send us feedback from the app. Nothing is sent unless you write a message and tap Send. A report contains:

  • Your message, your account ID, the time you sent it, and which part of the app you opened the form from (for example the Library or a failed import).
  • Only if you add one: a screenshot you choose from your phone, resized before it is sent.
  • Only if you tick the box: the app version, the Android version and your phone model.

A report contains nothing else about what you were doing in the app. Once sent, you cannot read it back from the app; only we can read it.

Purpose and Lawful Basis: Fixing problems and improving Smidgen from what you tell us (UK GDPR Art. 6(1)(f) — legitimate interests).

1.7 Imports That Fail

If an import fails, we keep a record of it for 30 days so we can find and fix the fault. The record contains:

  • The link you shared, or the text you pasted.
  • The text our service read from it, such as a post's caption or the page text.
  • The site it came from, and which step failed and why.
  • For a photo, only how many pictures there were. The pictures themselves are never kept.

The record is linked to a coded identifier for your account, not your name or email. It is never shown in the app, and is deleted after 30 days or when you delete your account. Nothing is kept when an import succeeds.

Purpose and Lawful Basis: Finding and fixing faults in importing (UK GDPR Art. 6(1)(f) — legitimate interests).

2. How Your Information is Shared and Disclosed

We do not sell, rent, or monetise your personal data. We disclose information only to third-party infrastructure providers necessary to operate the service:

  • Cloud Infrastructure: Google Cloud Platform (Firestore, Cloud Storage, Firebase Authentication, Cloud Run) for authentication, cloud synchronisation, and backend computation.
  • AI and Nutritional Analysis Services: When you request recipe import, nutritional estimation, or recipe adaptation, recipe text and neutral nutritional goals are sent to our language model provider (OpenAI). Under our enterprise agreements, data transmitted for inference is not used to train machine learning models and is retained only ephemerally for abuse monitoring before deletion.
  • Legal Requirements: We will disclose information only if required by valid legal process under UK law.

3. Data Retention and Storage

  • Account & Synced Data: Maintained in Google Cloud Firestore as long as your account remains active.
  • Recipe Photographs: Stored in private Google Cloud Storage folders associated with your account UID as long as the recipe exists.
  • Feedback: Reports and any screenshots are stored in private Google Cloud Firestore and Cloud Storage folders associated with your account UID, and kept as long as your account remains active.
  • Failed Imports: A record of an import that failed is kept in private Google Cloud Firestore for 30 days, then deleted automatically.
  • Local Device Cache: Stored in private application storage on your device. Cleared immediately upon sign-out or account deletion.
  • Account Deletion: When an account deletion is requested (either in-app or via our web portal), your authentication record, all associated Firestore collections (including feedback you have sent and records of your failed imports), and all recipe photos and feedback screenshots in Cloud Storage are deleted within 30 days.

4. Your Rights Under UK GDPR and Data Protection Law

Under the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018, you possess comprehensive rights regarding your personal information:

  • Right of Access: You may request a copy of the personal information held about you.
  • Right to Rectification: You may correct inaccurate or incomplete data at any time directly within the app.
  • Right to Erasure (Right to be Forgotten): You may request total deletion of your account and all associated cloud data via in-app settings or via our Account Deletion Portal.
  • Right to Data Portability: You may export your recipe library at any time in structured JSON/text format directly from the app. You may also request a complete manual archive of all synced account data by contacting privacy@smidgen.app. Requests are fulfilled free of charge within one month.
  • Right to Withdraw Consent: Where processing is based on consent (such as crash diagnostics), you may withdraw consent at any time via Settings.

5. International Data Transfers

Smidgen services utilise cloud providers located in the United Kingdom, the European Union, and the United States:

6. Technical Privacy Commitments

To ensure this policy reflects the real behaviour of the Smidgen application, the table below maps our privacy commitments directly to our code:

Privacy Commitment Verified Behaviour in Code
Health diagnoses never leave device Diagnoses (Diabetes, Coeliac, Lactose Intolerant) are classified as CONDITION and translated to neutral food goals on-device. Unknown values fail closed and are withheld.
Health profile excluded from cloud sync Cloud synchronisation is restricted to safe entities (RECIPES, COLLECTIONS, MEAL_PLANS, etc.). The user health profile table is strictly excluded.
Photo storage owner isolation Cloud Storage security rules restrict photo access to /users/{userId}/recipePhotos/{photo}, enforcing request.auth.uid == userId on all reads, writes, and deletes.
Telemetry disabled by default Analytics and crash diagnostics flags default to false. Explicit consent must be recorded before any telemetry activation.
Recipe URLs absent from release logs Import source URL telemetry is gated strictly by debug build flags, ensuring recipe URLs are never recorded in release builds.
Local data wiping on sign-out / deletion Local data cleaner clears all cached recipes, collections, meal plans, shopping lists, cook sessions, and photo files from device storage on sign-out or deletion.

7. Children's Privacy

Smidgen is not directed at or designed for children under the age of 13. We do not knowingly collect personal information from children. If you become aware that a child has provided us with personal information without parental consent, please contact us at privacy@smidgen.app, and we will promptly delete the data.

8. Changes to this Policy

We may update this Privacy Policy from time to time to reflect modifications in our features or applicable laws. Any revisions will be published at https://smidgen.app/privacy with an updated revision date. In the event of material changes to how your data is handled, we will provide prominent in-app notification prior to implementation.
